Direct Deposit – Frequently Asked Questions

What if I submitted my payroll but I want the processing date to be today?
The Simply Payroll software will only allow you to choose an earliest "Processing Date" of the next day within the software. If you need to have your processing date set to today and it is before the cut-off time of 11:00 am PST, you can log into your account and manually change the date to today. Once you have logged in, go to the direct deposit page (under the processing left menu item) and locate the file. As long as the cut-off time has not been reached, you will see the icon next to the file. You can change the date to today's date here.

How do I use Direct Deposit?
Direct Deposit can be used in 3 easy steps. 1) Setup employees for Direct Deposit; 2) Upload Payroll information; 3) Confirm information in Membership Area. Read the User Guide for more detailed instructions.

How long does it take to get setup?
Usually you are ready to go in a few days, especially if you have online banking.

Does our company need to meet certain criteria to use the service?
There are a number of things we look at during the approval process, but your company needs to be at least a year old and have a satisfactory credit report.

Is this the EFT Direct Product?
No, EFT Direct is a different service. You can continue to use EFT Direct as you always have.

Is there a minimum number of employees required?
No, there is not a minimum number of employees required in order to use Direct Deposit. This makes it very affordable.

Is there a maximum amount allowed for payroll?
Yes, there is a maximum account of $100,000 per payroll and $50,000 per employee.

How do I add or cancel an employee for Direct Deposit?
Simply Accounting Direct Deposit service gives you complete control; there is no waiting to add/cancel an employee. To add an employee anytime, just enter the employee's bank account information into your Simply Accounting application and mark the employee's paycheque for Direct Deposit. To issue a paper paycheque instead of Direct Deposit for any employee, just uncheck the Direct Deposit box for that employee and specify the period if needed.

Can I retract a payroll once I have submitted it?
We highly recommend that you review the payroll information in the membership area prior to processing. No changes can be made after the cutoff time (11:00 A.M. PST) on the Processing Date.

Once the paycheque is in process, any amount that needs to be adjusted will have to be done during the next pay period.

How often can I transmit a file for payroll?
File transmission should match your payroll frequency which in most cases will be monthly, semi-monthly, biweekly or weekly.

Do I upload a file for each employee?
No. You only need to upload one payroll file for all of your employees.

Question: How far in advance do I have to transmit my Direct Deposit data?
You must upload your payroll file to us by 11:00 AM Pacific Time at least 3 banking days (also known as good business days) before the date your employees are to be paid. For example, if the payday is Friday, you must have your payroll processing date set to Tuesday of the same week. See example calendar to the right.

What happens if there is a holiday after I upload the payroll data, but not on the pay date?
Bank holidays result in the need for you to submit payroll data earlier.

For example, let's say that there is a banking holiday on Wednesday. Normally, if you pay your employees on Friday, you would upload your payroll file to process on the Tuesday of that week. However, since your processing date needs to be 3 good business days prior to the pay date, you would upload your file to process on the Monday instead.

What happens if the scheduled pay date is a holiday?
We highly recommend you set up your payroll so this never takes place. However, if the pay date is a holiday, the designated bank accounts will be credited on the next good business day.
